    Why Canadian brokerages choose CovioIQ

Built for Canadian brokeragesCanadian database region, bilingual EN/FR, and terminology that matches how Canadian brokers actually work.
Renewals visible 90 days outActive policies enter the pipeline on their own as expiry approaches. Nothing depends on anyone setting a reminder.
Clients and policies in one placeContacts, policies, renewals, opportunities, tasks, documents and the activity history behind them.
An AI assistant over your own bookAsk Alex what needs attention today. It answers from your records and tells you where to act — it never acts for you.
    One workflow

From first enquiry to a renewed policy.

Every stage below is a real record in CovioIQ, not a diagram. Two of them happen without anyone doing anything.

    1. 01LeadA contact arrives with a source and a lead score built from that source, recent activity and what is on file.
    2. 02OpportunityQuoting work moves through seven stages, from first contact to proposal sent, negotiation and won.
    3. 03Policy boundYou record the bound policy: carrier, premium and cadence, effective and expiry dates, commission rate.
    4. 04Becomes a clientThe contact is promoted from lead to client the moment a policy on it goes active. Nobody has to remember.Automatic
    5. 05Renewal appearsThe policy enters the renewal pipeline as expiry approaches, scored for churn risk with the reasons named.Automatic
    6. 06Follow-upLog the call, email or meeting. The renewal moves stage and the contact date updates with it.
    7. 07RenewedCompleting the renewal writes the next term, carries the commission rate forward and schedules the next cycle.

CovioIQ records the work and tells you what needs doing. It does not place calls, email your clients or bind coverage — those stay with your team and your carriers.

    Prioritize renewals. Organize follow-up.

    Alex

    Ask your book a question.

Alex answers from your own records — the clients, policies, renewals, opportunities, tasks and logged activity already in CovioIQ. Ask in plain language and it tells you what it found and where to go next.

It answers. It does not act.

Alex cannot send an email or a message, create or change a record, or complete a task. When you ask it to, it says so and names the screen where you can. Coverage advice, quoting and binding stay with your licensed team.

    It does not see everything.

Names, company, policy and renewal facts go to the model. Phone numbers, email addresses, dates of birth, notes and document contents do not.

    More than renewals

The records a brokerage actually runs on.

Renewals are where CovioIQ starts, not where it stops. Each of these is a first-class record you can search, filter, import and export.

Clients and leadsOne contact record that moves from lead to client, with type, status, assigned broker, lead score and source.
PoliciesCarrier, line, policy number, premium on its real billing cadence, commission rate, effective and expiry dates.
RenewalsA term-by-term pipeline with churn score, the reasons behind it, quoted premium and the outcome you record.
OpportunitiesQuoting work through seven stages, with value, probability and expected close date for a weighted pipeline.
TasksOwner, due date, priority and state, linked to the client they belong to. Cancelled is terminal, not outstanding.
DocumentsPrivate per-agency storage with categories, expiry dates, short-lived download links and a trash you can recover from.
NotesFree text on both the client and the policy, for the context that does not fit a field.
Activity historyCalls, emails, meetings and notes on a timeline, with system events recorded separately so they never read as client contact.

Import clients and policies by CSV and export them again whenever you want. Your records stay yours.

    Keep your BMS

Keep your existing broker management system.

Your BMS or AMSPolicies of record, accounting and carrier downloads stay exactly where they are.

On re-import, clients already in your book are matched by email and existing records are not overwritten. A policy number already in CovioIQ is reported rather than imported twice, so add new policies as they are written and edit changed ones directly.

    • Hosted in Canada
    • Built around PIPEDA and Law 25
    • Bilingual EN / FR
    Your whole brokerage

Three roles, and what each one can do.

CovioIQ has three roles. Not five, not a permissions matrix nobody configures — three, with the difference between them enforced in the database rather than hidden in the interface.

    Broker

Works the clients assigned to them, and any client nobody is assigned to yet. Logs calls, moves renewals through the pipeline, owns tasks and sees their own document activity.

    Admin

Everything a broker can, on any client in the brokerage. Invites and removes team members, changes roles, and sees document activity across the agency.

    Owner

Everything an admin can, plus authority over other owners — only an owner can change an owner's role. Holds billing and the agency itself.

AssignmentClients carry an assigned broker, and renewals inherit it. Unassigned work is visible rather than stuck.
My work or the whole bookThe attention queue filters to one broker or the whole brokerage, so a manager sees what is unowned and overdue.
NotificationsAn in-app queue of what needs attention, and an optional daily renewal digest by email — to your team, never to your clients.
    What runs on its own

The renewal cycle, without the reminders.

Four of these six steps happen without anyone doing anything. The two marked as yours are the two that should be: talking to the client, and deciding the outcome.

    1. Runs on its own
The renewal appearsA nightly job puts every active policy approaching expiry into the pipeline. No reminder to set, nothing to remember.
    2. Runs on its own
It gets a risk score, with reasonsPremium change, how long the client has been with you, how many policies they hold, and how long since anyone logged contact. The factors are shown, not just the number.
    3. Runs on its own
It reaches the attention queueRanked against everything else that needs a broker today, and sent to the in-app queue plus an optional daily digest email to your team.
    4. You
You contact the clientBy phone or email, however you already work. You log the call and the renewal moves stage with it.
    5. Runs on its own
Silence gets recorded as silenceA renewal still open 30 days past its date is marked unresolved, not lost. An outcome nobody recorded is not evidence the client left.
    6. You
You record the outcomeMarking it renewed writes the next term, carries the commission rate forward and starts the next cycle in one transaction.

There is no workflow builder here, and no rule that emails your clients for you. CovioIQ does not contact them at all — it makes sure you know who to contact, and records it when you do.

    Who it is for

Your database runs in the AWS Canada (Central) region in Montréal, encrypted at rest and in transit.

Built around PIPEDA and Law 25

Row-level security on every table, so each agency sees only its own records. You can correct or delete client records at any time.

    Role-based access

Owner, admin and broker roles, with owners and admins managing who is in the agency.

    Row-level security, everywhere

All 35 tables in the database enforce agency isolation in the database itself, not in the interface. A query that forgets the filter still returns nothing.

    Document activity is logged

Uploads, downloads and deletions are recorded per agency. Members see their own; owners and admins see the brokerage's.

Connected to the tools your brokerage uses

Today that means CSV import, in and out, plus the email and billing CovioIQ runs itself. Four more connections are in development and fourteen are planned with no date committed. The split below is the honest one, so you can see exactly where your brokerage stands before you commit.

    Questions

    Product

Does CovioIQ replace my broker management system?

No, and it does not try to. Import your clients and policies by CSV and work renewals in CovioIQ alongside the system you already use. A direct BMS sync is not built — Applied Epic, Vertafore SIG and Power Broker are planned, not connected, with no date committed.

    Does CovioIQ contact my clients?

No. CovioIQ never emails, texts or calls your clients. It tells your team who to contact and records it when you do — every outbound conversation is still yours.

    Renewals

    How is churn risk calculated?

From signals already in your records: how much the premium rises at renewal, how long the client has been with you and how many policies they hold. The reasons are shown with every score. We don't publish an accuracy percentage until we can verify one.

    AI

Can Alex send emails or update records for me?

No. Alex answers questions about your own book and tells you which screen to act on, but it cannot send a message, create or change a record, or complete a task. Coverage advice, quoting and binding stay with your licensed team.

    Integrations

    Which integrations actually work today?

CSV import and export for clients and policies, including duplicate-safe re-import. Gmail, Microsoft Outlook, Google Calendar and a webhooks API are in development. Carrier feeds and BMS connections are planned with no date committed.

    Security and data

    Where is my data stored?

In Canada, in the AWS Canada (Central) region in Montréal. Lead and churn-risk scores are calculated there too. The optional AI assistant, Alex, sends the records it needs to answer a question to Anthropic in the United States; email, phone, address and date of birth are never sent.

    Pricing

    Can I cancel anytime?

Yes, from your billing settings. Access continues to the end of the billing period you've paid for, and there are no cancellation fees.

What if I have more than 5 users?

The Agency plan ($349/mo) includes unlimited users. For anything beyond that, contact us.

    Getting started

    How long does setup take?

Import your client and policy lists from CSV and you can start working your renewals the same day. Gmail and Outlook sync is still in progress. No IT team required.
